Most buildings arrive with no paperwork at all

Golden Peak maintains heating, cooling and ventilation for buildings across Rochester and Monroe County — and for the houses of the people who run them. Almost every building we take on arrives with nobody able to say what is installed, how old it is, or what the controls are set to.

Signature page

The handover nobody got

Six documents a building should come with, what each is for, what its absence costs — and who you have to ask to rebuild it, which depends entirely on whether you bought the building, lease it, or simply inherited the job.

The six

Asset list, commissioning, manuals, warranties, controls, filters

Every one of them can be rebuilt. One of them — access to the controls — gets harder every year and is the only one that can stop the building on a cold morning.

The second question

Who has it

A buyer asks the seller and the original installer. A tenant asks the landlord — and asks what is theirs to maintain at the same time. Somebody who inherited the role looks in the plant room and the ledger, and usually finds more than either.

And what it will not do

It does not read your lease

The page says plainly that what a lease requires is a question for you and your attorney, and that we will not work on plant outside your demise without the owner’s instruction.

Facilities

Buildings that have to open on time

Retail, professional suites, clinics, light industrial and warehousing across Monroe County. Surveyed first, then maintained against the survey.

The survey

A written page per unit: where it is, what it serves, its real age from the serial number, its refrigerant, its condition, and what stops trading if it stops.

Planned maintenance

Two visits a year with fixed content, readings recorded per unit, and a sheet afterwards separating what is urgent from what is coming.

Controls and schedules

Read back against how the building actually trades, and written down in plain words so the next person does not need a visit to find out.

Extract and make-up air

Kitchens, salons and workshops — and replacing the air being thrown out, because a building in depression pulls at every flue in it.

Late commissioning

Airflows balanced and recorded, charge verified, controls reset. It can be done years afterwards and it costs a fraction of replacing anything.

Breakdowns

Diagnosed and quoted before parts are ordered. Where the unit is on the survey, the part comes on the first visit.

Homes

Houses get the same instruments

A furnace in a Rochester house is combustion tested with the same analyser we take into a plant room, and a bedroom that never keeps up gets the airflow measured rather than argued about.

Gas heating, cooling, heat pumps, duct sealing, and the condensate lines that freeze in this climate and look exactly like a failure when they do.

What we say most

A room that never keeps up is nearly always airflow — a branch added during a remodel, a crushed run, a damper closed years ago, or a return far too small.

An oversized replacement makes it slightly worse, and that is what usually gets sold.

Stated plainly

What this website will not tell you

Each one would be a number we invented.

Not statedWhy
A priceA schedule reset and a failed compressor are not the same visit. You get a fixed figure on the phone once we know what is installed.
A response timeWe will not promise two hours on a January morning when half of Monroe County has no heat.
A saving“Cut your energy bill by a third” depends on the building, the hours and the tariff. It cannot be known from a web page.
What your lease requiresA question for you and your attorney. We can tell you what is installed and what it would cost to put right; we will not tell you who owes it.
Questions

Asked often enough to answer here

We took a building on and got no paperwork at all. Where do we start?

With the controls, because that is the only item on the list that can stop the building on a cold morning and the only one that gets harder to recover with time. Then a survey, which produces the model and serial numbers — and those recover the manuals and the warranty position for free. There is a page on this site that sets out all six documents, what each is for, and who to ask depending on whether you bought the building, lease it, or simply inherited the job.

Can a building be commissioned years after it was built?

Yes, and it is frequently the largest single improvement available. Airflows balanced room by room, charge verified, controls reset to how the building actually trades, and the figures handed over. It costs a fraction of replacing anything, and it gives you the baseline that every future complaint gets compared against. A building nobody commissioned never performs, and nobody finds out for two years.

Why do you record the control settings on a survey?

Because schedules get programmed once, by whoever installed the equipment, to the hours the building traded that year — and then the trading hours change and the programme does not, because it belongs to nobody. Recording what is actually set, and who has access to change it, is the cheapest line on the survey and it prevents more call-outs than anything else on it.

My furnace stops in cold weather and starts again later. Why?

In this climate the first thing to check is the condensate line. High-efficiency furnaces and boilers produce water, and a line run through a cold crawlspace, garage or against an outside wall freezes. The appliance stops on a safety and it looks exactly like a failure. Rerouting it is a small job and it is permanent.

We lease our unit. How much of this is ours?

That is the question everything else depends on and the one least often answered clearly, so it is worth asking the landlord or managing agent in writing at the same time as you ask for the paperwork. What your lease actually requires of you is a question for you and your attorney, not for us — but we can survey what serves your space, record it, and put the technical findings in writing so you have something to hand over. We will not work on plant outside your demise without the owner’s instruction.
